They are now seeking a top notch, up-and-coming, and highly efficient Administrative/Team Assistant to support one of their teams in the business. Responsibilities:
Provide PA/administrative support to the Fund Administration team
Maintain calendars, book meeting rooms and schedule meetings and conference calls with internal and external parties
Schedule travel arrangements and prepare itineraries
Respond and deal with external or internal telephone calls and queries in a professional manner
Coordinate the preparation, proofreading and distribution of reports and presentations, ensuring delivery timelines are met
Work independently on special projects under general direction of management
Review, prepare and manage the submission of expense claims and reimbursements in line with company policy
Review, track and maintain documents; following-up to obtain information as necessary
Develop and maintain a filing system and contract database
Assist with third party adviser invoicing and approval processes
Perform other administrative duties as needed
Requirements:
Degree qualified
A minimum of 2 – 3 years’ experience providing outstanding administrative support, preferably within financial services/asset management
Strong presentation with outstanding written and verbal communication skills in English; Mandarin would be advantageous
Exceptional track record in managing multiple projects
Proficiency in Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
Ability to work autonomously and collaboratively – comfortable in a fast-paced and multicultural environment
Ability to anticipate needs or problems, think "outside the box" and proactively offer solutions
Detail minded with ability to prioritise workload and meet with tight deadlines
