About The Role
Our client is a highly respected and long-established global investment management firm and they are currently seeking an up-and-coming and highly efficient Administrative/Team Secretary to support their Investment Team and Non Investment Teams. Key Responsibility
Provide administrative support to the executives and team
Maintain calendars, book meeting rooms and schedule meetings and conference calls with internal and external parties
Schedule highly frequent travel arrangements and prepare detailed itineraries as needed
Respond and deal with external or internal telephone calls and queries in a professional manner
Perform research via the internet as requested
Review, prepare and manage the submission of expense claims and reimbursements in line with company policy
Review, track, and maintain documents, following up to obtain information as necessary
Develop and maintain a filing system and contact database
Perform other administrative duties as needed
Qualifications
Bachelor’s degree or equivalent
A minimum of 6-7 years’ relevant experience supporting senior management/ executives, ideally within a financial services firm
Excellent English is a must, alongside fluency in Mandarin
Good knowledge of MS Office
Proven experience utilising internet resources
Exceptional verbal, written and interpersonal communication skills
Strong track record in managing multiple projects with a proven ability to prioritize
Self-starter with a proven ability to take initiative
Team-oriented with strong integrity and professionalism
Strong analytical skills and excellent attention to detail
Immediately available is preferred, but not essential
