Responsibilities:
Consular Services
Enter visa applicants in document registration systems and submit completed files
Carry out initial assessment of travel document applications, visas and authorisations for temporary stay, the assessment will involve compliance with statutory requirements and ensure if the documents are accurate and complete
Processing of requests to legalise notarial document
Organise and assist applicants when applying for visas or other consular documents
Keeping consular records by creating, organising, filing, and maintaining digital files and documents
Assess the relevance and urgency of incoming correspondence and, on his/her own initiative and at his/her own discretion, capture information that is needed to handle requests
Handling communication between Embassy in Beijing
Handling communication with government authorities
Administrative Services
Assist with drafting and sending out complex written documents
Responsible for all the logistics during incoming delegations
Assist with the preparations for seminars and events
Requirements:
Consular or Embassy experience is highly desired
A background in Corporate communications is also relevant and will be considered as writing and communicating using diplomatic language is required
Similar work experience of 5-7 years
Minimum bachelor’s degree or equivalent qualification
Fluency in both written and spoken English, Cantonese and Mandarin is essential
Excellent drafting skills in English is essential, Cantonese and Mandarin will be an added advantage
Strong IT skills: good knowledge in Microsoft Office particularly Outlook, Excel, Word, PowerPoint, and SharePoint
Excellent Social and Communication skills with clients and visitors
Confidence and knowledge of general principles of policy concerning migration and consular affairs
Knowledge of internal administrative and procedural regulations essential
