Our client is a highly respected investment management firm with an impressive track record and renowned leadership team. They are now seeking a top notch and highly efficient Executive Assistant to support their investment team and Chief Operating Officer (COO). This is an exceptional opportunity for an outstanding candidate whom is passionate about delivery and adaptable by nature.
Responsibilities:
- Provide overall administrative support to the Investment team and COO
- Manage a busy and complex calendar of meetings and conference calls between clients and investors across multiple time zones
- Manage extensive travel arrangements and visa applications for the Investment team and COO
- Ensure the COO and Analysts are adequately prepared for any meetings, business trips or other engagements
- Prepare any business correspondence, reports, presentation slides, and other documents as needed for the Investment team
- Handling of confidential documentation and correspondence as requested
- Monitor the monthly travel budget and assist in the timely preparation and submission of expense claims and reimbursements in line with company policy
- Assist the COO on all office expense matters and maintain the monthly expense report
- Support the Office Manager on any general office administration
- Perform ad-hoc duties as assigned
Requirements:
- Minimum of 10 - 15 years' experience directly supporting C-level or senior management as a Secretary/Executive Assistant
- Only candidates with prior exposure in Financial Services will be considered
- Prior experience providing outstanding administrative support in fast-paced and international environments
- Exceptional communication skills with fluency in English and Cantonese; Mandarin would be advantageous
- Advanced knowledge of Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
- Proactive and autonomous with the flexibility to adapt to ever-changing priorities and responsibilities
- Ability to solve problems and think "outside of the box"
- Strong organizational skills with ability to prioritise workload and meet with tight deadlines
