A boutique and dynamic fund are currently looking for an exceptional Executive Assistant to support one of their busiest Partners in Singapore. Applicants must have deep confidence in handling an exceptionally fast paced, global travel itinerary – this executives diary can include multiple US cities and Asian cities in the same week! The executive needs someone who listens carefully, works smart, is detailed, and has proven experience supporting a global, C-Suite executive on a one to one basis.
RESPONSIBILITIES
Handle all travel requirements for a highly complex, global diary
Regularly coordinate global meetings and conference (audio & video) calls (sometimes over 25 in a day)
Coordinating and scheduling client meetings, including agenda’s, room bookings, IT requirements, materials, and catering if required
Organise detailed international travel itineraries and arrangements - including complex and frequent US domestic flights (multiple cities in two days)
Screen, and where necessary, act upon email communications (both internal & external)
Monthly reconciliation of professionals’ expenses
Personal ad hoc duties as required
REQUIREMENTS
5+ years’ experience in a similar, high level role – Financial Services or Professional Services background preferred and at least 3 years in a one to one role of equal complexity and seniority
Highly organised with effective time management and a high attention to detail
Superior communication and interpersonal skills – you MUST be solution driven and with a high amount of ‘common sense’
High level of professionalism and excellent ability to co-ordinate global travel of a highly frequent nature
Confidence interacting with very senior executives and clients
Exceptional time management and organisational skills and a strong sense of responsibility
Native fluency in English is a MUST and Mandarin a bonus
Advanced knowledge of MS Office
Ability to work well in a small team environment
