About The Role
We are seeking an exceptional, highly organized, and discreet Executive Assistant to provide comprehensive support to C-suite. This role serves as a trusted partner to the C-suite, managing a complex and dynamic schedule, facilitating seamless communication across internal and external stakeholders, and ensuring the management's time is optimized for maximum impact. The ideal candidate thrives in a fast-paced, high-pressure environment, possesses exceptional judgment, and has a proven track record of supporting C-suite executives in a global context.
Key Responsibilities
Executive Support & Calendar Management
Manage the C-suite's complex and constantly evolving calendar with strategic foresight, prioritizing and resolving scheduling conflicts across multiple time zones.
Anticipate the C-suite's needs and proactively prepare materials, briefings, and context for meetings.
Coordinate all aspects of domestic and international travel, including flight arrangements, accommodations, visas, ground transportation, and detailed itineraries with contingency planning.
Communication & Stakeholder Management
Serve as the primary contact, screening and prioritizing incoming communications (emails, calls, correspondence) with discretion and professionalism.
Act as a central liaison between the C-suite and internal stakeholders (executive leadership team, department heads) as well as external partners, clients, and investors.
Draft, review, and edit correspondence, presentations, and other documents on behalf of the C-Sutie.
Confidentiality & Discretion
Handle highly sensitive information with the utmost discretion and professionalism, maintaining strict confidentiality at all times.
Expense & Administrative Management
Process expense reports, monitor budgets, and manage approvals in line with company policies.
Oversee administrative systems and processes to ensure efficiency and organization.
Qualifications
Minimum of 8–10 years of experience as an Executive Assistant supporting C-suite executives.
Experience in a global, fast-paced, or matrixed organization (e.g., financial services, technology, or multinational corporations) is highly preferred.
Skills & Competencies
Exceptional organizational and time-management skills with the ability to multitask and prioritize under pressure.
Strong written and verbal communication skills; able to draft professional correspondence and interact confidently with senior stakeholders.
Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Word, Excel) and familiarity with virtual meeting platforms (Zoom, Teams, etc.).
Proven ability to manage complex international travel and logistics.
Strong project management skills with the ability to drive initiatives independently.
Fluency in languages (Mandarin, English, etc.) to support global communication.
