We are currently recruiting for 2 exciting roles at an extremely well respected international investment bank. Our client is looking for 2 highly experienced and incredibly efficient Executive Assistants (1 front office, 1 back office) to support their business in Singapore. The successful candidates thrive on taking initiative, love multi-tasking and working autonomously in a fast-paced and challenging environment.
RESPONSIBILITIES
Calendar management for Senior Management including scheduling appointments, confirming meetings, coordinating with other Assistants and confirming meetings with internal/external clients, and offshore colleagues as requested
Handle general professional administration of a highly confidential and sensitive nature
Regularly coordinate meetings and conference (audio & video) calls
Organise complex international travel itineraries and arrangements
Act as a gatekeeper and field telephone calls
Screen, and where necessary act upon, all email communications (both internal and external)
Handling of confidential documentation and correspondence as requested
Monthly reconciliation of executives’ expenses
Liaise with international offices, clients, and external consultants
REQUIREMENTS
Bachelor’s degree or equivalent
Solid experience as an Executive Assistant to Senior Management in a financial services firm
Prior experience providing outstanding administrative support in fast-paced and international environments
Superior communication and interpersonal skills in English and Mandarin required
Strong stakeholder management skills
Proactive and autonomous with the flexibility to adapt to ever-changing priorities and responsibilities
Strong organizational skills with ability to multi-task and prioritize time sensitive work
Advanced knowledge of MS Office
Ability to work well in a small team environment
