A world-leading investment management firm with an impressive track record and huge global presence is currently seeking a top notch and highly efficient Executive Assistant with Mandarin & Japanese communication skills to support their fast-paced Investor Relations team. RESPONSIBILITIES
Handle general professional administration of a highly confidential and sensitive nature
Calendar management for Senior Management including scheduling appointments, confirming meetings, coordinating with other Assistants and confirming meetings with investors, clients, and offshore colleagues as requested
Coordinate the preparation, proofreading and distribution of reports, agendas, presentations, and other documents as needed
Regularly coordinate meetings and conference (audio & video) calls
Organize complex international travel itineraries and arrangements
Act as a gatekeeper and field telephone calls
Handling of confidential documentation and correspondence as requested
Monthly reconciliation of executives’ expenses
Collaborate with colleagues and stakeholders across Asia, Europe, and the U.S.
Handle any ad hoc projects as assigned
REQUIREMENTS
Bachelor’s degree or equivalent
Prior experience providing outstanding administrative support in fast-paced and international environments
Strong presentation with outstanding written and verbal communication skills in English, Mandarin, and Japanese
Strong stakeholder management skills
Proficiency in Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
Proactive and autonomous with the flexibility to adapt to ever-changing priorities and responsibilities
Highly organized with strong attention to detail
Proactive with outstanding problem-solving skills
Strong integrity with ability to handle highly confidential situations with professionalism and tact
