A long-established international private equity firm is searching for a resourceful and adaptable Executive Assistant to support their senior executives and help oversee the day-to-day office operations. This is a standalone position and unique opportunity to take on a blended role in an office with great working culture. Excellent opportunity for a native Mandarin speaker and candidate whom is confident with working autonomously.
Responsibilities:
Provide all round secretarial and administrative support to 3 Senior Executives
Manage a busy calendar of meetings and occasional international travel itineraries and arrangements
Ensure the team are adequately prepared for any meetings, business trips or other engagements
Coordinate the preparation, proofreading and distribution of reports, agendas, presentations and other documents as needed
Assist in the timely preparation and submission of expense claims and reimbursements in line with company policy
Perform general office administration duties, including monitoring and ordering stationery and pantry supplies, office equipment repair and maintenance
Maintain good relationships with various vendors, stakeholders, and international offices
Screen and transfer calls in a professional manner
Handle any ad-hoc duties as assigned
Requirements:
Bachelor degree or equivalent
Minimum of 5 years’ experience in a similar role
Preference for candidates with background in Financial or Professional Services
Must be a native speaker of Mandarin with exceptional communication skills and fluency in English and Cantonese
Proficiency in Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
Highly organised and able to prioritise, multi-task and deal with last minute changes
Reliable and capable of working independently
Proactive with ability to think on your feet and solve problems
