A highly respected financial services firm with extensive global reach and strong track record is now looking for an Executive Assistant to support their growing operations in Singapore. This newly created role reports into the Office Manager and you will also assist with general office administration. This is a unique opportunity for an experienced, proactive and highly adaptable EA to join a fast-paced environment.
Responsibilities:
Provide full spectrum of secretarial & administrative support
Handle travel arrangements, calendar management, and expense claims for senior executives
Prepare business correspondence, reports, agenda, minutes and presentation materials
Answer phone calls, manage meeting rooms, handle mail & couriers etc.
Take charge of office replenishment for stationery and pantry supplies
Ensure office equipment, fixtures and furniture are well maintained and in good working order
Manage any invoicing and expense reimbursements, ensuring compliance with company policies and approval processes
Correspond with the third-party company secretary on any documentation, registration, and filing to ensure compliance with the Singapore Companies Act
Perform ad-hoc projects as required
Requirements:
Diploma / Degree holder in business related discipline or equivalent with formal secretarial training
A minimum of 10 years’ experience providing outstanding administrative support, preferably within financial services/asset management
Exposure in office administration would be preferable
Strong presentation with outstanding written and verbal communication skills in English; Mandarin would be advantageous
Proficiency in Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
Ability to work autonomously and collaboratively – comfortable in a fast-paced and multicultural environment
Ability to anticipate needs or problems, think "outside the box" and proactively offer solutions
Detail minded with ability to prioritise workload and meet with tight deadlines
