About the Role
We are seeking a highly organised, proactive, and trustworthy Family & Personal Assistant to provide comprehensive support to a busy family. This is a varied and dynamic role, encompassing household management, personal arrangements, business support, and charity coordination. The ideal candidate will be discreet, resourceful, and able to manage multiple priorities with ease.
Key Responsibilities
Household & Family Support
Oversee day-to-day household operations, ensuring everything runs smoothly and efficiently
Manage a team of household staff (helpers and driver and Chef), including scheduling, task delegation, and performance oversight
Coordinate schedules for family members, including appointments, events, and activities
Arrange travel itineraries, accommodation, and logistics for family trips
Manage household budgets, expenses, and vendor relationships (e.g., contractors, suppliers, maintenance services)
Oversee property maintenance and ensure the household is well-maintained and organised
Children's Arrangements
Coordinate children's school schedules, extracurricular activities, and tutoring sessions
Liaise with schools, teachers, and activity providers to ensure smooth communication
Arrange transportation for children to and from school and activities
Support with homework, school projects, and special events
Plan and organise children's parties, playdates, and holiday activities
Personal Support
Manage personal schedules, appointments, and errands for the principals
Handle personal correspondence, gift purchases, and special occasions (birthdays, anniversaries, etc.)
Assist with personal travel arrangements, including visas, accommodation, and dining reservations
Coordinate personal events and family gatherings
Business Support
Provide administrative and secretarial support, including document preparation, meeting coordination, and correspondence management
Liaise with external business partners, lawyers, accountants, and other professional advisors
Manage business travel arrangements and itineraries
Assist with ad-hoc business projects as required
Charity & NGO Activities
Support the family's philanthropic activities and NGO commitments
Coordinate charity events, fundraising initiatives, and community outreach programmes
Liaise with NGO partners and manage communications
Assist with research and due diligence on charitable projects
Key Requirements
Experience & Qualifications
Minimum 8 years of experience as a Personal Assistant, Family Assistant, or similar role
Experience working within a family office or HNW household is highly desirable
Proven track record in household management and staff supervision
Experience coordinating children's activities and school logistics
Familiarity with charity/NGO work is a plus
Skills & Competencies
Excellent organisational and time management skills
Strong communication and interpersonal skills
High level of discretion, confidentiality, and professionalism
Proactive, resourceful, and able to anticipate needs
Ability to multitask and work under pressure in a fast-paced environment
Tech-savvy with proficiency in MS Office and scheduling tools
Fluent in English and Cantonese and Mandarin
