Our client is a prestigious and long-established law firm with several offices around the world. They are now seeking an up-and-coming junior Legal Secretary to support their Corporate practice. Responsibilities:
Work as part of a team to deliver and provide seamless secretarial and administration solutions to assigned practice group fee earners
Manage the end-to-end billing process using the internal financial system and ensuring timesheets are accurately recorded and up-to-date on behalf of fee earners
Coordinate meetings and conference calls, ensuring rooms and conference facilities are booked, liaising with attendees if necessary
Plan and manage complex travel arrangements, producing detailed itineraries and preparing key documents such as visas and any related correspondence
Prepare, format, proofread, amend and file legal documents in line with the firm’s document management processes
Coordinate the preparation, proofreading and distribution of marketing presentations and materials as needed
Assist in the timely preparation and submission of expense claims and reimbursements in line with company policy
Respond and deal with external or internal telephone calls and queries in a professional manner
Perform any ad hoc tasks as assigned
Requirements:
At least 2 years’ legal secretarial/administrative experience within international law firms
Priority will be given to candidates with Corporate exposure
Proficiency in Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
Fluency in English, Cantonese and Mandarin; Chinese typing skills are essential
Excellent organisation and document management skills
Ability to work independently, prioritise workload and meet with tight deadlines
Adaptable with a high level of personal responsibility
