We are seeking an experienced and professional Legal Secretary to join a well-established and highly respected Family Office in Hong Kong. This is an exceptional opportunity for a resourceful individual with strong secretarial and administrative skills to work in a comprehensive assistant role supporting a Legal Counsel and a team of Trust Managers.
Responsibilities
Provide full spectrum of independent secretarial and personal assistant support to the Legal Counsel.
Manage calendars, coordinate business and personal appointments, and handle travel arrangements.
Prepare emails, letters, documents, correspondence, reports, diagrams, and simple financial spreadsheets.
Oversee filing systems, primarily using the iManage document management system, as well as maintaining physical working files.
Liaise, coordinate, and follow up with internal and external parties on day-to-day business operations and personal matters, including answering phone calls.
Perform ad hoc business duties as assigned.
Provide administrative and filing support to a team of three (3) full-time Trust Managers, including database updates, document processing, and maintenance, as capacity allows.
Requirements
Tertiary education with at least 10 years of executive secretarial and/or executive assistant experience within sizable organizations, with a preference for legal industry experience.
Excellent command of both spoken and written English and Chinese, ideally including experience in a legal context.
Strong audio typing skills are highly desirable.
Proficient in MS Office applications, particularly Word, Outlook, PowerPoint, and Excel. Familiarity with iManage document management system and Viewpoint entity management database is an advantage, and a strong willingness to learn new software is essential.
Positive attitude, dependable, well-organized, and committed.
Strong multi-tasking and time management skills, with the ability to work collaboratively and proactively.
Must be a Hong Kong Resident
