Our client is a prestigious and long-established law firm with several offices around the world. They are now seeking a meticulous and highly efficient Legal Assistant to support transaction related documentation needs for one of their key practices. RESPONSIBILITIES
Handle large volume of documents generated by the practice
Arrange for the collation and distribution of original signatures and documents
Coordinate the approval of bible indices
Manage the production and distribution of bibles
Upload bible documents onto internal shared drives
Post-closing maintenance of bibles and shared drives
Locate precedents for future transactions
Check original signature pages before engrossments
List applications, including liaising directly with the stock exchange and clients, and guide the relevant parties through the process
Transcribing, editing and amending legal and other documents including marketing presentations and materials
Convert, compare, copy type and proofread as necessary, ensuring that documents comply with house style
Assist lawyers with the preparation of transaction bibles and volumes including scanning of documents, indexing, and liaising with the Print Room for the hard copy and/or CD/DVD production and dispatch of bibles
File all client and office related materials (both in electronic and paper format), arranging with Office Services for the archiving of closed physical files off-site and maintenance of file lists for new, current and closed files
Plan, coordinate, and set up internal and external appointments and conference calls with clients and ensure that all appointments are entered into lawyers' calendars accordingly
Perform any ad hoc tasks as assigned
REQUIREMENTS
Minimum of 6 - 12 months experience within international law firms or finance-related industry
Previous experience in paralegal or other legal support role preferred but not essential
Proficiency in Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
Fluency in English, Cantonese and Mandarin; Chinese typing skills are essential
Strong organisational skills and attention to detail required; commitment to meet deadlines
Previous experience in managing large volumes of documents would be advantageous
Adaptable with a high level of personal responsibility
