About The Role
We are seeking an experienced Office and Facility Manager to lead all workplace and facilities operations for our client's Hong Kong office. This is a senior individual contributor role with high ownership and visibility, ideal for someone who has led office expansion projects in fast-paced, high-growth environments and brings experience from multinational companies or multi-country operations.
You will be the go-to person for all workplace matters in Hong Kong, partnering closely with the client's oversea headquarters, leading office expansion projects end-to-end, managing vendors, and ensuring the team has an exceptional, safe, and compliant work environment.

Key Responsibilities:
Workplace Strategy & Expansion
Partner with leadership to translate headcount growth plans into workspace requirements and expansion strategies, developing scalable processes to ensure smooth execution.
Lead office expansion and build-out projects end-to-end, including site selection, lease negotiation, design, construction management, and move-in coordination.
Liaise with realtors, landlords, and co-working space providers to explore options and negotiate favorable terms; manage the bidding and vendor selection process for construction and fit-out projects.
Communicate project status, timelines, and key decisions to stakeholders and the client's US headquarters.
Facilities & Operations Management
Ensure the workplace is fully operational, well-maintained, and compliant with local laws, building regulations, and tenancy agreements.
Own workplace safety and security, including policies, access control systems, CCTV, fire safety equipment, first-aid provisions, and emergency procedures.
Set up and maintain all utilities and infrastructure, including electricity, water, internet, and IT/AV equipment.
Manage the workplace improvement backlog, prioritizing based on stakeholder needs and budget, and work with vendors to execute ongoing improvements.
Partner with Legal, Finance, and Operations on lease management, renewals, insurance, and business registration compliance.
Manage the office administration team and oversee the maintenance and upkeep of the workplace.
Budget & Stakeholder Management
Own and manage the workplace and facilities budget, including obtaining approvals and reviewing expenses for expansion and improvement projects.
Gather workplace requirements and feedback from employees and stakeholders to continuously improve the office experience, fostering a positive workplace culture and supporting employee productivity.
Make decisions on workspace assignments and office improvements based on strategic priorities.
Technology & Infrastructure Coordination
Partner with corporate IT teams to ensure robust networking (Ethernet, Wi-Fi), A/V systems, meeting room technology, and workplace systems (badge access, room booking, visitor management).
Requirements:
8–10 years of experience in office management, workplace operations, facilities management, or corporate real estate.
A proven track record of managing office expansion or build-out projects in a fast-paced, high-growth environment.
Experience working in a multinational company (MNC) or tech company with exposure to multi-country operations or global standards.
Strong project management skills, with the ability to manage multiple vendors, timelines, and stakeholders simultaneously.
Experience with lease negotiation, vendor contracting, and managing CAPEX/OPEX budgets.
Strong knowledge of Hong Kong building regulations, workplace safety requirements, and tenancy/lease compliance.
Excellent communication skills and the ability to coordinate with an overseas headquarters across time zones.
Fluency in English and Cantonese (Mandarin is a plus).
A hands-on, proactive mindset suited to a fast-moving startup environment.
