About the role
Our client is looking for a proactive, hands-on Office Manager to oversee the day-to-day operations of Hong Kong headquarters.
Key Responsibilities
Office Operations & Administration
Manage day-to-day office operations and administrative activities to ensure smooth functioning
Maintain a clean, organised, and professional office environment
Coordinate office maintenance, repairs, and facility-related matters
Monitor and replenish office supplies, pantry items, and stationery
Handle incoming and outgoing mail, courier services, and deliveries
Maintain office filing systems and company records
Vendor & Facilities Management
Liaise with building management, landlords, contractors, and service providers
Manage relationships with office vendors and suppliers
Obtain quotations and coordinate procurement of office equipment and services
Negotiate with vendors to ensure cost-effective operations
Budget & Finance Support
Manage office budget and ensure accurate and timely reporting
Process invoices and ensure timely submission for payment
Maintain records of office-related expenses and budgets
Administrative Support
Provide administrative support to management and various departments
Assist with meeting arrangements, room bookings, and company events
Coordinate travel reservations and accommodation arrangements when required
Prepare administrative reports, purchase orders, and expense documentation
Compliance & Safety
Ensure compliance with company policies and office procedures
Support workplace health and safety initiatives
Maintain emergency contact lists and office safety records
Qualifications & Requirements
5+ years of experience as an Office Manager, Office Administrator, or in a comparable administrative leadership role
Diploma or above; a Bachelor's degree in Business Administration, Management, or a related field is preferred
Previous experience in a professional services, recruitment, or corporate environment is a strong advantage
Advanced proficiency in Microsoft Office Suite
Experience with invoice processing and basic budget management
Proactive, hands-on, and able to work independently with a strong sense of ownership
Strong time management skills and ability to multitask and prioritise work in a fast-paced environment
