Our client is a preeminent global investment firm and leader in citizenship and residency planning. They are now seeking a highly efficient and detail-minded Office Manager & Executive Assistant to support their Head of Office and oversee the day-to-day office operations. RESPONSIBILITIES
Ensure the smooth running of all offices in North Asia
Responsible for office administrative duties; assist in formulating and implementing administration policies and procedures
Manage office related contracts and liaise with service vendors
Responsible for replenishment of office and pantry supplies and general maintenance of the office
Handle HR matters including but not limited to recruitment, staff onboarding/orientation, performance reviews, staff benefits, offboarding etc.
Work with Group HR to ensure compliance with local labour ordinances and group policy
Manage HR records and update systems in a timely manner
Develop team building events and coordinate activities between offices
Ensure IT security policy is fully implemented as per group policy and liaise with IT to ensure technology is in order
Provide EA support to Head of Office including meeting scheduling, and preparation of letters, presentations, and reports
Co-ordination of overseas travel and local events in tandem with other offices
Lead and coach junior administration support staff
Perform any ad-hoc duties as assigned by the management
REQUIREMENTS
Bachelor’s degree or equivalent
Minimum of 5 years’ experience in a similar role
Experience in managing China offices and knowledge of China labour ordinance a plus
Exceptional communication skills and fluency in English, Cantonese & Mandarin
Proficiency in Microsoft Office suite (Excel, PowerPoint, Word, Outlook) and Chinese Word Processing
Highly organised and able to prioritise, multi-task and deal with last minute changes
Meticulous and sensitive to figures
Reliable and capable of working independently
Proactive with ability to think on your feet and solve problems
Candidates with less experience may be considered for the position of Assistant Office Manager
