A world-leading investment management firm with an impressive track record and huge global presence is currently seeking a highly efficient and resourceful Office Manager to join their newly established operations in Singapore. Responsibilities:
Responsible for all general office management and processes by ensuring day-to-day operations and procedures are running smoothly and appropriately
Duties will include some accounting, invoicing and bookkeeping
Maintain good relationships with various vendors and negotiate contract terms and service level agreements
Monitor office supplies inventory and ensure everything is well stocked and maintained
Organize and maintain a good filing system for any administrative paperwork and oversee confidential information
Update and maintain all internal folders, policies and procedures
Payment and filing of invoices and reconciliation of fees received
Identify opportunities for process and office management improvements
Provide other administrative support when needed including calendar management, meeting coordination, travel arrangements, event management, and expense report preparation
Collaborate with colleagues and stakeholders across Asia, Europe, and the U.S.
Handle any ad hoc projects as assigned
Requirements:
Degree qualified, ideally in Finance, Accounting or Business related field
Minimum of 10 years or above experience in office management and administration, preferably within financial services/asset management
Strong presentation with outstanding written and verbal communication skills in English; Mandarin would be advantageous
Proficiency in Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
Ability to work autonomously and collaboratively – comfortable in a fast-paced and multicultural team environment
Highly organized with strong attention to detail
Proactive with outstanding problem-solving skills
Ability to forge new and more efficient ways of working, developing new procedures where relevant
Strong integrity with ability to handle highly confidential situations with professionalism and tact
