About the role
Our client, a leading multinational law firm, is seeking an experienced Office Manager to oversee operations in their Singapore office. This pivotal role requires a seasoned professional with at least 10 years of experience in office management within the legal sector or other sophisticated professional services environments. The successful candidate will act as a key liaison between partners, attorneys, and professional staff, ensuring the smooth running of the office and the delivery of exceptional client service.
Key Responsibility
Provide leadership across all aspects of office operations, driving strategic and operational initiatives in partnership with the firm’s professional staff departments.
Build a strong understanding of the office’s practice areas, market positioning, and future staffing needs, offering guidance on long‑term planning.
Oversee real estate and facilities management, including leasing, space planning, and construction projects, in collaboration with the Director of Administration.
Act as the primary contact for local regulatory matters, ensuring compliance with the Law Society of Singapore and other governing bodies.
Partner with Finance and Administration teams to manage payroll, banking, reconciliations, and corporate secretarial matters.
Lead the planning and execution of internal and client events, working closely with the Business Development team and external vendors.
Develop and implement strategies for risk management, business continuity, and emergency preparedness.
Collaborate with HR to support recruitment, onboarding, and employee relations, serving as a local resource for staff queries.
Ensure global firm policies are adapted to meet local legal and regulatory requirements.
Stay abreast of industry trends, innovations, and regulatory changes, providing recommendations to leadership.
People Leadership
Manage and mentor administrative staff, including secretaries, fostering a culture of collaboration, excellence, and client service.
Align office operations with the firm’s strategic objectives and long‑term goals.
Promote a high‑performance environment that values teamwork and professional growth.
Qualifications
Minimum of 10 years’ experience in office management or business operations leadership within a major law firm or comparable professional services/financial services environment.
Strong knowledge of Singapore business practices, employment law, and statutory requirements, with familiarity in Law Society regulations.
Demonstrated business acumen with strong financial and analytical skills, capable of translating broad objectives into actionable plans.
Proven ability to manage multiple initiatives simultaneously, including operational transformations and large‑scale real estate projects.
Exceptional interpersonal skills, with the ability to influence, build consensus, and champion new ideas.
Excellent communication skills, both written and verbal, with the ability to engage credibly across all levels of the organization and external stakeholders.
Track record of successfully managing and developing professional staff, driving continuous improvement and innovation.
Experience in event planning and coordination, including vendor management and post‑event evaluation.
