A multinational hospitality company is seeking a top-notch Personal Assistant to support their Senior Executive. In this role, the Personal Assistant will manage the busy Executive’s business and personal calendars, be the go-between the household team and the Senior Executive, possesses strong communication skills and coordination skills, and is highly organized and strategic.
Duties & Responsibilities:
Provides top notch secretarial support, both on business and personal.
Schedules and coordinates appointments, meetings and events including registration and travel arrangements. Travel arrangement for business, personal and family.
Keeps an effective database and filing system.
Government relations – works closely with the government bodies where Senior Executive has an appointment.
Works closely with a team of assistants and to be on top of all projects.
Liaises closely with household team to ensure the schedule will work well with the home agenda.
Provides support to personal and family matters, in Hong Kong and Shenzhen.
Domestic arrangements
Children’s schooling, registration, extra-mural activities.
Manage household team on HR issues i.e. recruitment, labour law/guidance, coaching and appraisal, etc.
Household maintenance e.g. follow up with respective contractors on repairs and maintenance and renovation projects.
Personal properties
Manages the personal properties in terms of maintenance and renovation projects
Bank accounts
Maintains accurate book-keeping on the bank accounts.
Job Specification
Minimum10-15 years of relevant experience preferably in a sizable business/multinational organization.
Strong communication skills. High proficiency in both written and spoken English and Chinese (both Cantonese and Mandarin). Can handle correspondence independently.
Bachelor’s degree.
Well-presented, mature, intelligent, independent, responsible, trustworthy, diligent, and well-organized.
Must be a great team player with excellent people and interpersonal skills
Experience in handling domestic issues.
Strong computer skills including MS Excel, Word, PowerPoint, and Chinese word processing.
