About the role
Our client is seeking a professional, polished, and highly service-oriented Receptionist to join a prestigious law firm. As the first point of contact for clients, visitors, and callers, you will serve as the face and voice of the firm, embodying its commitment to excellence and professionalism . This role is ideal for candidates with prior corporate office reception experience who have a genuine passion for delivering first-class client service in a professional services environment.
Key Responsibilities
Reception & Front Desk Management
Greet and welcome all clients, visitors, and business guests in a warm, professional, and hospitable manner
Manage the reception area, ensuring it remains tidy, presentable, and conducive to client confidence at all times
Answer, screen, and direct incoming telephone calls and enquiries promptly and accurately
Serve as the firm's primary "ambassador," ensuring a welcoming and professional first impression for all in-person and telephone interactions
Meeting & Conference Room Coordination
Schedule and coordinate appointments, meetings, and conference room bookings
Prepare meeting rooms, including room set-up, audio-visual support, and catering arrangements as required
Ensure meeting facilities are maintained to a high standard and ready for use
Administrative & Operational Support
Manage incoming and outgoing correspondence, including mail, courier, and electronic communications
Support office purchasing and expense administration, including basic record keeping
Assist with document preparation, photocopying, scanning, printing, and filing
Coordinate with internal departments such as Facilities, IT, and Catering to ensure seamless service delivery
Provide general administrative support and ad-hoc assistance to the administrative team and professional staff as required
Client & Visitor Services
Foster a welcoming environment where every client and guest feels valued and respected
Provide tailored concierge services, including coordinating transportation, dining, and entertainment reservations
Anticipate client and guest needs, responding promptly and professionally to varied requests
Maintain strict confidentiality and discretion in handling all client matters and sensitive information
Qualifications & Requirements
Education
Associate Degree or equivalent preferred; High School Diploma minimum
Additional certification or training in administrative support or customer service is advantageous
Experience
Minimum 3 - 5 years of corporate office reception experience is essential
Experience working within law firms, financial institutions, consulting firms, or other professional services environments is highly preferred
Prior experience in hospitality (hotels, restaurants) may be considered if combined with professional presentation
Skills & Competencies
Excellent spoken and written English communication skills — a key requirement for a law firm environment
Professional, polished, and client-facing presentation
Strong interpersonal skills with the ability to interact effectively with senior stakeholders and international clients
Excellent organisational and time-management skills — ability to handle multiple priorities in a fast-paced environment
Proficient in Microsoft Office applications (Word, Excel, Outlook, Teams)
Familiarity with conference room software and video/audio conferencing tools (e.g., Zoom, Microsoft Teams) is a plus
Strong attention to detail and commitment to maintaining a polished, professional work environment
