Our client is a well respected Financial Services firm about to undergo huge growth within their business. They are seeking a highly efficient Administration/Team EA to provide a high level of support to a large team of 20 executives - previous experience supporting a team is essential. This is an excellent opportunity for someone with a can do attitude, to be a part of an exciting business growth phase supporting an esteemed team of individuals in the Private Equity space.
RESPONSIBILITIES
Provide administrative support to the executives and team (20)
Maintain calendars, book meeting rooms and schedule meetings and conference calls with internal and external parties
Schedule highly frequent travel arrangements and prepare detailed itineraries as needed
Respond and deal with external or internal telephone calls and queries in a professional manner
Prepare, update, print and bind various client materials in preparation for meetings
Review, prepare and manage the submission of expense claims and reimbursements in line with company policy
Review, track and maintain documents; following-up to obtain information as necessary
Perform other administrative duties as needed
REQUIREMENTS
Bachelor’s degree or equivalent
A minimum of 8 years’ relevant experience supporting executives/senior management within a financial services firm
Excellent English and Cantonese is required, and Mandarin is preferred but not essential
Advanced Excel and PowerPoint skills essential
Good knowledge of MS Office
Exceptional verbal, written and interpersonal communication skills
Strong track record in managing multiple projects with a proven ability to prioritise
Self-starter with a proven ability to take initiative
Team-oriented with strong integrity and professionalism
Strong analytical skills and excellent attention to detail
