Job Description

A leading luxury brand is looking for a Business Support Executive to join one of their teams in Hong Kong.  The successful candidate will be highly-organised, energetic, personable, and have the ability to hit the ground running in a fast-paced environment.
  • Organise meetings, including preparing of agenda with summary of main discussion points, chairing the meeting, preparing minutes and summaries of meetings with action points for members of team
  • Company filing, including organising and updating of all internal folders, policies and procedures
  • Payment and filing of invoices and reconciliation of fees received and submit approved invoices to Finance department and ensure payments are reimbursed in a timely manner
  • Proactively improving business processes, documentation and systems
  • Build relationships with vendors, external business partners, and contractors
  • Maintain close communication with the team and giving recommendation to streamline current work process to achieve higher efficiency 
  • Provide support on budget, variance analysis using analytical software
  • Be familiar with the budget allocation process and guidelines; support senior executives to generate budget, reports, and annual budget preparation
  • Manage a busy calendar of meetings, events and arrange complex international travel
  • University graduate in business, finance, economics or a related discipline; with a minimum of 8 years’ experience of office administration/office support 
  • Excellent command of English, Cantonese, and Mandarin
  • Be a strong and positive team player
  • Able to think outside the box and propose new ideas
  • Superb interpersonal skills to deal with people at all levels 
  • Able to forge new and more efficient ways of working, developing new procedures where relevant
  • Confident to push back in order to free up time and decision making for the senior executives
  • Extremely organised with great focus on details
  • Proficiency in MS Office, Word, Excel and Chinese Word Processing
