Our client is one of the world’s largest and most prestigious law firms with a strong and growing presence in Asia Pacific. They are now seeking a proactive and highly competent Secretary / Executive Assistant to provide high grade support to the Managing Partner. The ideal candidate will have excellent organizational and interpersonal skills, while remaining flexible and adapting easily to changing priorities.
RESPONSIBILITIES:
Full spectrum of administrative and secretarial support to the Managing Partner
Plan and manage complex travel arrangements, producing detailed itineraries, liaision with overseas offices, booking flights, hotels, car transfers etc
Coordination of both internal and external meetings on behalf of the Managing Partner, including booking all required facilities and liaising with attendees if necessary
Proactive management to ensure the Managing Partner is fully updated on what is scheduled in the diary, attends meetings on time and with the appropriate documents/presentations.
Act as gatekeeper for the Managing Partner - respond and deal with external or internal telephone calls and queries in a professional manner and ensure any nuisance callers are filtered out
Prepare, format, proofread, amend and file documents in line with the firm’s document management processes
Draft high-quality correspondence, letters, documents, agendas, reports, presentations and spreadsheets for meetings and ensure their timely distribution
Handling of confidential documentation and correspondence as requested
Monitor the monthly travel budget and assist in the timely preparation and submission of expense claims and reimbursements in line with company policy
Perform any ad hoc tasks as assigned
REQUIREMENTS:
Minimum 5 years’ experience supporting senior management, managing partners, or C-Suite
Priority will be given to candidates with background in law firms or financial services
Exceptional communication skills and ability to interact at all levels with fluency in English; Cantonese or Mandarin would be advantageous
Advanced knowledge of Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
Proactive and autonomous with the flexibility to adapt to ever-changing priorities and responsibilities
Ability to solve problems and provide innovative solutions
Strong organizational skills with ability to prioritise workload and meet with tight deadlines
