A renowned and prestigious asset management firm with an impressive track record and huge global presence is currently seeking a top calibre and highly collaborative Executive Assistant to assist their CFO and Finance team. Responsibilities:
- Provide overall administrative and operational support to the CFO and Finance Team
- Maintain calendars for CFO and team, ensuring consistency and accuracy
- Assist in the coordination of video/audio conference setup among regional offices
- Organize and schedule meetings and travel agenda, coordinating with regional/global team as necessary
- Ensure the team are adequately prepared for any meetings, business trips or other engagements
- Coordinate the preparation, proofreading and distribution of reports, agendas, presentations and other documents as needed
- Monitor the travel budget and assist in the timely preparation and submission of expense claims and reimbursements in line with company policy
- Possess excellent telephone manner – professionally handle/direct calls to relevant teams, taking down any messages
- Manage various administrative and accounting systems, assisting with generation of reports and issuance of bills etc.
- Coordinate catering and related logistics for any events and/or CSR initiatives for the team and firm
- Handle any other related duties as assigned by the CFO from time to time
Requirements:
- Minimum of 3 - 5 years’ work experience in a similar role; Financial or Professional Services background would be preferable
- Proven work experience supporting senior level executives
- Proficiency in Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
- Outstanding interpersonal and communication skills; English and Chinese are a prerequisite, Mandarin would be highly advantageous
- Organized and methodical with strong attention to detail
- Ability to work autonomously and collaboratively – comfortable in a multicultural team environment
- Enthusiastic and proactive
