Job Description

A well-established international professional services firm is looking for an enthusiastic, bright, and energetic Executive Assistant to join their growing team.  The successful candidate will be highly organized, independently motivated, and resourceful.  


Responsibilities:

  • Proactively manage high volume of calendar appointments in multiple time zones, always accommodating to last minute changes and urgent business needs

  • Preparation for meetings as necessary, including scheduling of conference rooms, coordinating food, logistics, etc.

  • Coordinate international travel including air and hotel bookings, liaising with other offices for internal meetings and managing last minute changes as required

  • Answer all incoming telephone calls: screening, prioritizing and relaying messages

  • Review and respond to emails, filing and forwarding as appropriate

  • Provide support and coverage to the other administrative staff as needed

Requirements:

  • Degree holder with at least a minimum of 8 to 12 years of administrative experience in a fast-paced, professional services environment

  • Excellent time management skills and ability to demonstrate excellent attention to detail

  • Work well independently and strategically as a team player

  • Always maintain professionalism, specifically when dealing with senior business figures

  • Strong organizational skills

  • Excellent command of both spoken and written English, Cantonese and Mandarin

  • High proficiency in Word, Excel, and Power Point
