A US based financial services firm is searching for an energetic and proactive Administrative Assistant to join their office in Hong Kong. The successful candidate thrives on taking the initiative, loves multi-tasking and working autonomously in a fast-paced and international environment.
Responsibilities:
- Lead all administrative work for the CEO, including interacting with colleagues in various international locations
- Manage calendars, meeting arrangement with various parties – both internal/external
- Provide personal assisting support – travel arrangement, visa application, logistic arrangement etc.
- Handle the filling system and confidential information professionally
- Provide full range of administrative and operations support including office renovation, procurement, facilities management and equipment maintenance
- Closely liaise and coordinate with internal and external parties to ensure smooth business operations
- Organise the office layout and maintaining supplies of stationery, equipment and any additional needs
- Maintain filing system and confidential information
- Prepare expenses reimbursement
- Support on ad-hoc projects as assigned
Requirements:
- Degree holder with a minimum of 5 years’ experience in a varied administrative support role, preferably along with overseas education
- Superb interpersonal skills to deal with people at all levels
- Ability to prioritise workload and manage deadlines
- High level of accuracy and attention to detail
- Proficient in Excel, Outlook, PowerPoint, Word, and Chinese Word Processing
- Good command of both written and spoken English, Cantonese, and Mandarin
- A ‘can-do’ attitude is essential – willing and eager to help others and get involved
