A leading luxury retail brand is searching for a superb Executive Assistant to support their CFO. The successful candidate will be capable, flexible and personable, with excellent experience of supporting at a senior level, while also taking the initiative and working comfortably in a busy team environment.
Responsibilities:
• Handle extremely demanding diary and calendar management
• Coordinate complex and multiple travel arrangements including visas and accommodation
• Assist and coordinate in the preparation, proofreading and distribution of reports and presentations as required
• Manage and submit expenses reports
• Responsible for all correspondence and various ad-hoc administrative tasks as required
• Compile strategic reports and summary reports as required
• Produce correspondence and reports using appropriate software and tools
• Coordinate meeting arrangements to appropriate persons and take meetings minutes as required and distribute accordingly
• Handle any outstanding matters in the absence of the senior executive
• Handle confidential information with utmost discretion
• Be in touch with the status of all current issues within the department and to report and flag critical issues and events that require immediate action
• Take initiative to highlight any matters of urgency, and communicate this at the earliest possible opportunity
Requirements:
• Degree holder with minimum 8 years of secretarial experience in the luxury retail industry
• Meticulous attention to detail
• Ability to prioritise workloads and manage deadlines
• Motivated, proactive, and flexible to adapt to ever-changing priorities and responsibilities
• Proficient in MS Office including Word, Excel, PowerPoint, and Chinese Word Processing
• Excellent command of both spoken and written English, Chinese, and Mandarin
• Ability to multi-task, good judgment and driven to work in a fast-paced environment
• An enthusiastic, flexible and highly organized person will be well suited to this role
• Having a resourceful and confident manner in handling a variety of duties is a must
