A multinational and well-established pharmaceutical company is searching for a superb Operations Assistant to join their logistics department. The successful candidate will have excellent customer service skills and solid experience within the shipping and logistics industry.
Responsibilities:
• Apply for import/export license application
• Handle full set of import/export shipping documents including L/C, ensure that the customer PO and all shipping documents are properly filed
• Arrange export shipment with designated forwarders
• Monitor and handle shipment damage and shortages
• File claims to manufacturers and forwarders
• Apply for Re-Export Certificate of Origin for countries with HKGCC where it is required
• Organise import/export custom declaration within 14 days as required by HKSAR by presenting required documents to designated custom brokers
• Ensure that the Master Shipping Instruction (MSI) are accurate
• Process approved customer purchase orders and export shipment coordination
• Co-ordinate with planner overseas to ensure customer orders are on time, within product shelf life
• Liaise with Finance and Marketing department to update the PO in SAP as per trade compliance requirements
• Issue monthly backorder and open order reports and send shipping plan reports to senior managers for approval
• Issue debit/credit notes to distributors for pricing adjustment, stock transfer and write-off when required
• Liaise with QA team to ensure all customer complaints are reported
• Review ending stock of repackaging components on a monthly basis
• Co-ordinate with QA/Label and Packaging team on the progress of issuing repack ECRs as well as the changes of repackaging components
Requirements:
• A minimum of 3 years’ experience in export customer services and logistics
• Solid knowledge in handling full set of shipping documents and L/C
• Superb customer service and communication skills
• High level of SAP experience in order entry, preferably with experience in customer services and pricing maintenance
• Detail-oriented, with a flexible and proactive approach
• Excellent spoken English is needed alongside native Cantonese and also, ideally, Mandarin
• Ability to prioritize workload and manage deadlines
