A well-established hospitality group is searching for a superb Secretary to join their dynamic Legal Department. Supporting two senior executives, they are looking for a motivated, detail-oriented and personable addition to their team.
Responsibilities:
• Produce legal documents, correspondence, reports and meeting minutes in English and Chinese, by transcribing, formatting, editing and arranging text, data and graphics, with a strong emphasis on accuracy and checking priority with managers
• Comparing drafts of documents electronically and manually and highlighting changes in accordance with instructions
• Checks translation of documents in English and Chinese, with a strong emphasis on accuracy and ability to propose amendments to align the documentation
• Proving administrative support and assistance to managers on their projects and matters and keeping abreast with progress
• Organizes work by reading and routing correspondence, collecting information, initiating communication. Executing instructions from managers and clarifying instructions as needed
• Conducting basic legal and administrative research on the internet through government websites on procedures, documentary requirements and various types of public registers
• Maintains managers’ schedule by maintaining calendars, arranging meetings and appointments and making travel arrangements
• Maintains confidence and protects interests of the company by keeping information confidential and secured
• Arranges for payment of invoices and expenses claims, and assisting in the internal processes within the Company as needed
• Maintains office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for suppliers, verifying receipt of supplies
• Provides historical reference by utilizing filing and retrieval systems, both on paper and via computer files
Requirements:
• Bachelor degree in any discipline with at least 2 years’ relevant experience of office administration
• Superb communicator, friendly and approachable when answering phones and dealing with the team
• Highly organised, independent natured, and calm under pressure
• Proficient in Excel, Outlook, PowerPoint, Word, and Chinese Word Processing
• Good command of both written and spoken English, Cantonese, and Mandarin
• Ability to multi-task, with a high level of discretion
• Bubbly personality with gravitas and confidence under pressure
