A leading professional firm is looking for a well-presented, flexible, and proactive Senior Executive Assistant. The successful candidate will have at least 8 years relevant experience and the ability to hit the ground running in a fast paced role.
Requirement:
- Ability to prioritize workload and manage deadlines, forward-thinking and independent
- Greet and direct visitors to appropriate area on behalf of the Senior Executive
- Prepare presentations for use at SMT/internal meetings and vendor presentations
- Compile strategic reports and summary reports as required
- Produce correspondence and reports using appropriate software and tools
- Handle all travel itineraries, ensuring that travel arrangements and concurrence are made on time and within policy
- Coordinate meeting arrangements to appropriate persons and take meetings minutes as required and distribute accordingly
- Manage diary and calendar for the Senior Executive and oneself
- Handle any outstanding matters in the absence of the Senior Executive
- Handle and resolve any issues and or complaint cases raised by operations/external customers effectively and consistently with the highest standard of courtesy, bringing to attention of appropriate persons
- Be fully conversant with all company policy and procedures as they relate to the company and key job functions
- Take time to turn every complaint into an opportunity to exceed the customers’ expectations
- Handle confidential information with utmost discretion
- Coordinate projects and specific exercises via working closely with other departments to ensure smooth operation and the meeting of deadlines
- Be in touch with the status of all current issues within the department and to report and flag critical issues and events that require immediate action
- Take initiative to highlight any matters of urgency, and communicate this at the earliest possible opportunity
Responsibilities:
- Degree holder with minimum 8 years of secretarial experience in serving Senior Management in all-rounded secretarial duties
- Well-organized, excellent communication skills with minimum supervision from her superior
- Excellent interpersonal skills to deal with all levels of people
- Ability to prioritize workload and manage deadlines, forward-thinking and independent
- Proficient in MS Office including Word, Excel, Powerpoint, and Chinese Word Processing
- Excellent command of both spoken and written English, Chinese, and Mandarin
