Our client is an all-encompassing Multi-National Financial Services Corporation with over 300 people in their Hong Kong office. The company is seeking a top-notch, high calibre, highly polished Executive Assistant to support their Chief HR Officer and General Counsel. Candidates with HR background will have an advantage!
THE IDEAL CANDIDATE:
Excellent/Superior stakeholder management skills to be able to communicate with C-Suite, SLT, Senior Leaders, Branch Managers from all over the world and is a native English speaker.
Is from Financial Services, and adept to a fast-paced environment/culture
More importantly, will have served a C-Suite at Group level Human Resources
Superior/Advanced Excel skills to be able to manipulate data and generate C&B/budget reports (Vlookup, conditional formatting, formulas, pivot tables, graphs, etc)
Advanced level PowerPoint skills to develop slide deck for presentation purposes.
Collaborate with executive assistants in other markets for data sharing
Directly work with Senior Leadership Team for updates/data sharing, etc
Organize and Participate in Global Townhalls in US/UK timezone (1-2 times a month)
OTHER KEY RESPONSIBILITIES:
Provide full secretarial support to the Executives including maintaining complex diaries
Handle highly sensitive and confidential matters with utmost discretion and professionalism
Act as an effective communication bridge between the Executives and internal or external parties
Handle any ad hoc duties as assigned including project work
Opportunity to develop professional expertise and grow into specialized knowledge and capabilities
Coordinate the Executive’s travel arrangements and accommodation reservations for business trips
Arrange meetings and functions including preparation of meeting documents and logistics planning
Responsible for taking minutes for Executive Meetings as and when needed
Maintain various correspondences and expense reimbursement
REQUIREMENTS:
Degree holder or above
Excellent interpersonal skills to communicate with all levels of stakeholders
Self-motivated and independent to handle everything on his/ her own
Great sense of integrity to handle sensitive material on a confidential basis
Excellent MS Office knowledge
Strong sense of responsibilities and detail-oriented
Good organisational and multi-tasking skills
Fluent in written and oral English with a good command of Chinese and Mandarin proficiency an additional benefit
At least 10-15 years of EA experience in large MNC
Experience in serving senior executive members on one-to-one basis is essential
Prior experience in arranging the director’s calendar and appointments
Exposure to project work would be an advantage
