A renowned and prestigious Family Office is currently seeking a top calibre and highly efficient Executive Assistant/Secretary to support their team. Reporting to the Manager, this role will provide secretarial and administrative assistance to help support the Company’s directors and family members. This is an exceptional opportunity for an outstanding candidate whom is passionate about delivery and exceeding expectations. The ideal candidate will have excellent organisational and interpersonal skills, and will have had previous experience working for a Family Office.
RESPONSIBILITIES
Provide overall administrative and operational assistance to Manager, to help provide support to the Company’s directors and family members
Manage an extremely busy corporate/ personal calendar of meetings, conference calls, events, and complex and highly frequent international travel itineraries
To handle independently email/letter communications and/or any other documentary correspondences to cater for an efficient and effective work flow.
To liaise, co-ordinate, implement and follow up with both relevant internal and external parties on day-to-day business operations and personal errands.
To assist in logistic and household management as needed and to monitor any specially assigned operational schedules.
To perform ad hoc duties and work overtime as needed
REQUIREMENTS
Minimum of 10 years relevant experience in a sizeable organisation. Prior experience working for a Family Office is a MUST.
Energetic with ability to remain calm and focused in fast-paced environments
Exceptional communication skills with fluency in English and Chinese
Advanced knowledge of Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
Proactive and autonomous with the flexibility to adapt to ever-changing priorities and responsibilities
Ability to anticipate needs or problems, think "outside of the box" and proactively offer solutions
Strong organisational skills with ability to prioritise workload and meet with tight deadlines
Strong team player
