Responsibilities:
Provide overall administrative and secretarial support to the team
Manage an extremely busy calendar of meetings, conference calls, events, and complex and frequent international travel itineraries and arrangements
Ensure the senior executives are adequately prepared for any meetings, business trips or other engagements
Coordinate the preparation, proofreading and distribution of reports, agendas, presentations and other documents as needed
Respond and deal with external or internal telephone calls and queries in a professional manner
Handling of confidential documentation and correspondence as requested
Review, prepare and manage the submission of expense claims and reimbursements in line with company policy
Liaise with various stakeholders, international offices, clients, and external consultants
Perform ad-hoc duties as assigned
Requirements:
Degree qualified
A minimum of 8 – 10 years’ experience providing outstanding administrative support, preferably within financial services/asset management
Strong presentation with outstanding written and verbal communication skills in English and Mandarin
Prior experience providing outstanding administrative support in fast-paced and international environments
Proficiency in Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
Proactive and autonomous with the flexibility to adapt to ever-changing priorities and responsibilities
Ability to solve problems and think "outside of the box"
Strong organizational skills with ability to prioritise workload and meet with tight deadlines
