My client, a prestigious Hedge Fund firm located in Central, is currently seeking a meticulous, well spoken and highly proactive experienced professional to support their business as the Executive Assistant to the CEO/Office Manager. The ideal person will have strong experience in complex travel arrangements, have a cheerful and calm personality, and be solution oriented in nature.
RESPONSIBILITIES:
Provide comprehensive business and personal support to CEO
Handle travel arrangement and itinerary scheduling (Strong experience/actual experience of complex travel arrangement (flight arrangement: multi cities in USA/Europe), hotels, train bookings, with strong ability to manage *last minute* change/amendment of bookings)
Handle office administration functions
Prepare reimbursement claim forms for CEO and the team
Maintain the filing system and contact list database
Support marketing materials update and formatting
Act as main contact with IT service provider on IT and computer service support
Maintain office upkeep including pantry and office supplies replenishment
Handle applications such as renewal of employee insurance, health insurance, and visa application e.t.c.
Participate in ad-hoc project as assigned
REQUIREMENTS:
Solid experience in secretarial and administrative support
Fast paced, proactive, independent and dedicated to perform multi-tasks under a high pressure environment
Excellent problem-solving abilities; communication and interpersonal skills
Excellent in handling multi-stops travel arrangements and providing supports while CEO is on the road in different time zones
Meticulous and sensitive to figures
Self-motivated, attention to details and tactful with business sense
May be required to be available in US/EU timezones for changing travel arrangements on last minute notice
Well spoken and written English and Chinese, with Putonghua an advantage
High proficiency in MS Office including Word, Excel, PowerPoint and Chinese Word processing
Experience in finance / investment industry an advantage
