A well-established and highly respected family office with global operations is currently seeking a top notch, seasoned, and highly efficient Executive Assistant to support their Chairman. The ideal candidate will have excellent organizational and interpersonal skills, while remaining flexible and adapting easily to changing priorities.
RESPONSIBILITIES
Provide all round secretarial and administrative support to the Chairman.
Manage an extremely busy calendar of meetings and complex and highly frequent international travel itineraries and arrangements across multiple time zones, requiring collaboration with both internal and external executives and assistants!
Ensure the MD is adequately briefed and prepared for any meetings, business trips or other engagements, and on top of important tasks and deadlines.
Coordinate the preparation, proofreading and distribution of reports and presentations, ensuring delivery timelines are met
Respond and deal with telephone calls and queries in a professional manner
Review, prepare and manage the submission of expense claims and reimbursements in line with company policy
Review, track and maintain documents; following-up to obtain information as necessary
Maintain discretion on all confidential matters
Manage personal affairs including booking appointments and coordination of events
Perform other ad-hoc duties as given time to time
REQUIREMENTS
Minimum of 15 years' experience directly supporting Chairman/CEO
Preference for candidates with background in Financial Services or Professional Services
A strong service ethic, commitment, flexibility and resilience required.
Energetic with ability to remain calm and focused in fast-paced environments.
Exceptional written and verbal communication skills in English
Advanced knowledge of Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
Responsive and autonomous with the flexibility to adapt to ever-changing priorities and responsibilities
Ability to anticipate needs or problems, think "outside of the box" and proactively offer solutions
Detail minded with ability to prioritise workload and meet with tight deadlines
