My client is, a reputable international law firm, seeking a highly motivated and dynamic individual to join them as Legal Manager Assistant. As a Legal Manager Assistant, you will play a vital role in supporting the practice by ensuring high-quality work, managing deadlines, and collaborating with partners, lawyers, and internal teams. Responsibilities:
Deliver high-quality, accurate work while managing deadlines and prioritizing competing tasks.
Enhance work practices with partners and lawyers, managing the entire matter life cycle from file opening to closure/archival.
Support the practice in achieving high levels of financial hygiene by analysing and improving existing processes such as expense management, billing, and reporting.
Proactively manage the matter lifecycle, recommend improvements to the matter closure process, and coordinate client reviews.
Provide secretariat support to client teams, including managing leave calendars, scheduling and attending team meetings, and liaising with clients for administrative queries.
Oversee the billing process, including creating pre-bills, editing bills, coordinating write-offs and discounts, and ensuring compliance with firm policies.
Assist with client and cost reporting requirements, preparing reports regularly and recommending process improvements.
Provide training and mentoring support to newly joined legal support staff, focusing on HSF firm systems, policies, procedures, and workflows.
Coordinate and produce accurate documents and correspondence, meeting required deadlines and utilizing appropriate resources.
Requirements:
Advanced level of proficiency in MS Excel, PowerPoint, Outlook, and Word.
Solid background in handling billing matters within law firms.
Excellent written and verbal communication skills in both English and Chinese.
Strong organizational and time management skills with the ability to prioritize and meet deadlines.
Attention to detail and ability to maintain confidentiality.
Demonstrated experience in a senior support role within a professional services firm, preferably in the legal industry.
Personal leadership skills, including problem-solving, adaptability, and sound judgment.
Ability to build authentic relationships, collaborate with others, and enhance the client experience.
Results-oriented mindset with a focus on achieving quality outcomes.
Willingness to continuously learn, adopt new systems, and improve work processes.
