A Hong Kong Tycoon with global businesses in real estate and investment properties is currently seeking a high caliber, trustworthy, loyal, and highly efficient Office Manager. The Office Manager would be a critical bridge between the boss and Administrative Team to provide full level of support with personal and professional commitments. They will need to be willing to dedicate themselves wholeheartedly to this role and as the gatekeeper will have a constant flow of requests for their time, attention, and investment. A high level of discretion and confidentiality is essential in this role.
The Office Manager will have over 10 years’ experience of supporting the executive by performing complex and confidential responsibilities that involve a deep understanding of the executive’s operations and obligations. The Office Manager would contribute to critical decisions and handle sensitive, confidential information with considerable discretion, judgment, tact, and diplomacy.
The Office Manager will manage and synchronize the executive’s complex schedule, handle communication and correspondence, orchestrate and plan events, and even spearhead projects with the Administrative Team.
This is not your typical Office Manager role. It’s an evolving role based on current environment so the ability to adapt will be key. Our client is looking for an individual that would contribute beyond the expected administrative duties. They want a team member who is strategic, a strong sense of ownership and is culturally sensitive. All work is handled with high importance and a level of urgency. They are looking for someone who is attentive, highly detailed oriented, and able to multitask with speed and efficiency. Responding in a timely manner, and clear communication is essential. Overtime is necessary at times which should be determined by one’s own judgement based on deadlines. As the role reports into the executive who partners with the Board of Directors, professionalism is of the utmost importance.
RESPONSIBILITIES
Oversee an administrative team who provide all-round personal and administrative support with coverage to Hong Kong and the Mainland.
Manage an extremely busy calendar of meetings and complex and highly frequent international travel itineraries and arrangements across multiple time zones along with collaborating with internal teams.
Exemplary communication and tactical skills to build strong relationships.
Be the go-between in keeping with changing priorities and aligning with team to ensure smooth and seamless execution.
Be the subject matter expert of all household matters and large household staff.
Pivoting between different aspects of personal matters and professional matters and providing instruction to Administration Team.
Respond and deal with ad-hoc requests in a professional, and confidential manner.
Review, track and maintain documents; following-up to obtain information, as necessary.
Maintain discretion on all confidential matters.
Manage personal affairs including booking appointments and coordination of events.
REQUIREMENTS
Preference for candidates with background in Administration Management and Personal Assistance
Energetic with ability to remain calm and focused in fast-paced environments with strong leadership quality.
Strong interpersonal and coordination skills
Fluent Native Mandarin is a must, Exceptional written and verbal communication skills in English, and Cantonese required
Advanced knowledge of Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
Responsive and autonomous with the flexibility to adapt to ever-changing priorities and responsibilities.
Ability to anticipate needs or problems, think "outside of the box" and proactively offer solutions
Detail minded with ability to prioritise workload and meet with tight deadlines
