Overview
Our client is a leading investment company and they are seeking an Personal Assistant to provide 1-on-1 personal support to their Chairman. The ideal candidate will have excellent English skills, be proactive, flexible, detail-oriented, and with a strong sense of confidentiality and professionalism.
Responsibilities
Provide comprehensive secretarial and personal assistance to the Chairman and his family.
Manage and screen incoming calls, handle all correspondence, and maintain and update the Chairman's contact list.
Schedule meetings and manage the Chairman’s diary, prioritizing requests effectively.
Coordinate travel logistics for the Chairman and his visitors.
Prepare materials for meetings attended by the Chairman, and record and transcribe all board meetings for the Chairman’s approval.
Reserve conference rooms for meetings and maintain an organized filing system.
Handle personal finances, including monthly bank statements and credit card reconciliations.
Draft responses to routine inquiries and correspondence.
Arrange dining reservations, send invitations, and confirm attendance.
Plan and execute special projects, including events and gatherings.
Coordinate travel and entertainment arrangements for the Chairman and his family.
Maintain membership renewals for social groups and oversee driving license renewals
Coordinate visa applications and administration for domestic staff.
Manage payroll and employment contracts for household staff.
Oversee maintenance and repairs for the Chairman’s residence and vehicles.
Liaise with contractors and building management for property-related issues.
Perform ad hoc tasks as requested by the Chairman and his family.
Qualifications:
8+ years of experience as an executive-level assistant, preferably supporting a C-suite executive
Exceptional organizational skills with the ability to multitask and prioritize in a fast-paced environment
Excellent written and verbal communication skills in English
Strong problem-solving and critical thinking abilities
Proficient in Microsoft Office suite and experience with calendar management tools
Ability to work independently with minimal supervision while also being a strong team player
Demonstrated integrity, diplomacy, and the highest level of discretion
