A well-respected recruitment and executive search firm with a strong global presence is searching for an Administrative Assistant to join their growing team in Hong Kong. The successful candidate will be personable, self-motivated and confident in their ability to manage the everyday running of a busy office environment.
Responsibilities:
- Support the office with all administration requirements and ensure it is run efficiently and smoothly
- Organize the office layout and maintaining supplies of stationery, equipment and any additional needs
- Negotiate and reviewing contracts with all vendors providing goods and services to the office
- Format CVs
- Arrange payment of invoices and expenses
- Manage a busy calendar of meetings, events and arrange complex travel
- Screen incoming calls and redirect calls to team
- Prepare reports and presentations
- Maintain files, records and correspondence for meetings
- Ensure office is tidy and presentable
- Maintain supplies of stationary, equipment and food items
Requirements:
- Preferably degree qualified, with a minimum of 1 to 2 years’ experience of office administration/office support in a multi-national environment
- Excellent English (both verbal and written), alongside Cantonese and Mandarin
- 'Hands-on’ approach, highly organised with excellent attention to detail
- Calm, flexible personality, willing to get involved in a variety of duties
- Good working knowledge of Microsoft Word, Excel and PowerPoint
- Ability to prioritize workload and manage deadlines
