Our client is a newly established investment management firm with impressive backing and leadership team. They are now seeking a polished and highly efficient Administrative Assistant to support their Investment Team. The ideal candidate will have excellent organizational and interpersonal skills, while remaining flexible and adapting easily to changing priorities.
Responsibilities:

Manage and coordinate meeting room bookings and ensure the rooms are well maintained with any necessary equipment

Arrange mail and courier services

Perform general office administration duties, including monitoring and ordering stationery and pantry supplies, office equipment repair and maintenance
-
Provide overall administrative and operational support to the Investment Team
-
Manage a busy calendar of meetings and frequent international travel itineraries and arrangements
-
Ensure the team are adequately prepared for any meetings, business trips or other engagements
-
Monitor the monthly travel budget and assist in the timely preparation and submission of expense claims and reimbursements in line with company policy

Collaborate with the Office Manager and perform ad-hoc duties as assigned
Requirements:
-
Minimum of 5 years’ experience in a similar role
-
Preference for candidates with background in Financial or Professional Services

Prior experience providing outstanding administrative support in fast-paced and international environments
-
Highly presentable with exceptional communication skills and fluency in English and Cantonese

Advanced knowledge of Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
-
Reliable and capable of working independently as well as part of a busy team

Proactive with ability to think out of the box and solve problems

Strong organizational skills with ability to prioritise workload and meet with tight deadlines
