A rare and golden opportunity to work in a one-on-one support role has arisen. Our client is a prestigious and highly respected law firm with several offices around the world. They are now seeking a seasoned and highly efficient Executive Assistant to support their key global leader. This is an exceptional opportunity for an outstanding candidate whom is passionate about delivery and exceeding expectations. The ideal candidate will have excellent organizational and interpersonal skills, while remaining flexible and adapting easily to changing priorities.
Responsibilities:
- Proactively manage the Chairman’s diary on a day-to-day basis, resolving diary conflicts and regularly communicating with the Chairman to ensure awareness of changing priorities and commitments
- Manage and coordinate all aspects of Chairman's external and internal meetings, events and travel, producing detailed itineraries and providing meeting materials in advance and where necessary attend meetings as required
- Internal and external liaison on Chairman's behalf, making decisions and using judgment as appropriate
- Acting as gate keeper/dealing with all internal and external calls on Chairman's behalf
- Manage the production of presentations and other documentation, drafting where necessary and liaising with and delegating to others e.g. Document Production Unit
- Monitor, respond to and action incoming emails/communications on behalf of Chairman
- Draft email correspondence/communications, liaising with Internal Communications team as necessary (including arranging/attending weekly meetings with the communications team on Chairman’s behalf). In addition, providing high level support for external speeches/panel appointments e.g. coordinating speeches with Internal Communications team
- Attend appropriate leadership/management meetings, recording and coordinating relevant agreed outputs/actions e.g. Executive Committee and ManCom Committee meetings
Requirements:
- Degree qualified
- Minimum of 10 years' experience with at least 5 years directly supporting C-suite or Board level executives; ideally one-on-one, as a Secretary/Executive Assistant
- Preference for candidates with background in Legal, Financial or Professional Services
- Prior experience providing outstanding administrative support in pressured and international environments
- Exceptional communication skills with fluency in English; Mandarin would be advantageous
- Advanced knowledge of Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
- Proactive and autonomous with the flexibility to adapt to ever-changing priorities and responsibilities
- Ability to anticipate needs or problems, think "outside the box" and proactively offer solutions
- Detail minded with ability to prioritise workload and meet with tight deadlines
- Strong integrity with ability to handle highly confidential situations with professionalism and tact
- Understanding the importance of Client Service
- Stakeholder Management experience
