About the role
We are seeking a dynamic and professional Admin Assistant/Receptionist for a well-established investment firm with a strong presence in Asia, focusing on capital management and innovative investment strategies. This role offers a unique opportunity to contribute to the smooth operations of a fast-paced and collaborative environment.
Key Responsibilities
Serve as the first point of contact, handling reception duties including welcoming guests, answering phone calls, and managing general inquiries.
Manage office operations, including ordering supplies, handling mail and courier services, and maintaining a clean and organized workspace.
Provide administrative support to the team, including scheduling meetings, managing calendars, and preparing documents.
Assist with travel arrangements, such as booking flights, accommodations, and transportation for team members.
Coordinate with external vendors and service providers to ensure the efficient running of the office.
Support the planning and execution of office events, meetings, and team activities.
Qualifications
At least 5 years of relevant experience in administrative support, receptionist duties or office management.
Fluent in English and Chinese (spoken and written); Mandarin would be a plus.
Strong organizational and multitasking skills, with great attention to detail.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with basic IT systems.
Professional, friendly, and approachable demeanour with excellent interpersonal skills.
Ability to work independently and proactively in a fast-paced environment.
