About the role
We are seeking a highly organised and proactive Executive Assistant (EA) to provide comprehensive support to the Head of HR and a team of 9 at a leading hedge fund firm in Hong Kong. The ideal candidate will have exceptional organisational skills, strong problem-solving abilities, and a professional approach to managing a wide range of responsibilities in a fast-paced environment.
Key Responsibilities
Diary and Meeting Management:
Manage intensive meeting schedules, including coordinating appointments, preparing agendas, and ensuring smooth logistics.
Handle last-minute changes and conflicts with efficiency.Administrative and Team Support:
Assist with ad hoc projects and events, ensuring all details are meticulously planned and executed.
Draft and circulate notices to staff, as well as internal communications.
Update the company’s LinkedIn posts and support employer branding initiatives.Vendor Liaison and Procurement:
Liaise with external vendors to obtain quotations, negotiate terms, and ensure timely delivery of services and goods.
Data Reporting and Analysis:
Utilise advanced Excel skills to create reports, track data, and analyse metrics for the HR team.
Problem-Solving and Coordination:
Act as a key problem-solver for the team, ensuring challenges are addressed promptly and effectively.
Facilitate communication between the Head of HR, the team, and other stakeholders.
Qualifications:
Minimum 8 years in executive assistant roles, preferably in the financial services industry.
Proven experience in managing personal and family responsibilities, including oversight of household staff.
Excellent command in English and Cantonese is essential.
Advanced proficiency in Microsoft Excel (e.g., pivot tables, VLOOKUP, complex formulas).
Strong general proficiency in other Microsoft Office applications (Word, PowerPoint, Outlook).
Exceptional written and verbal communication skills, with the ability to interact effectively with stakeholders at all levels.
Exceptional organizational and multitasking skills, with the ability to prioritize effectively.
Strong time management abilities, with keen attention to detail.
Must hold a valid HKID card.
Flexible and able to thrive in a fast-paced, dynamic environment.
