About the role
A reputable Global Asset Management firm is searching for a resourceful and adaptable Executive Assistant to support their COO and oversee travel management for the team. The ideal candidate will be willing to roll up their sleeves and confident with working autonomously whilst juggling varying demands.
Key Responsibility:
Calendar management: Proactively manage complex calendars, prioritize appointments, resolve scheduling conflicts, and coordinate meetings across multiple stakeholders and time zones.
Email and communications: Draft, review, and manage executive correspondence and communications; triage emails and follow up on action items.
Meeting coordination: Prepare agendas, briefing materials, presentations, and minutes; ensure logistics, attendees, and technology are arranged; follow up on action items.
Travel and logistics: Arrange detailed travel itineraries, accommodations, visas, and ground transport; prepare expense reports and reconcile receipts.
Stakeholder liaison: Act as primary point of contact for internal and external stakeholders, maintaining professional relationships and facilitating cross-functional collaboration.
Project support: Assist with project management, research, and preparation of reports and presentations; track deadlines and deliverables.
Confidentiality and discretion: Handle sensitive information and confidential matters with the highest level of integrity.
Special projects: Support ad hoc initiatives, events, and executive priorities as needed.
Qualifications:
Bachelor’s degree or equivalent experience preferred.
3–7 years’ experience as an Executive Assistant, Personal Assistant, or similar role supporting senior leaders.
Proven experience managing complex calendars and executive communications.
Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, Zoom). Familiarity with calendar management tools and expense systems is a plus.
