A prestigious and world leading investment management firm is currently looking for a top notch, seasoned, and highly efficient Executive Assistant to support the Department Heads within one of their core business units. The business is going from strength to strength and there is much opportunity for this individual to make a real impact. The ideal candidate will have an entrepreneurial mindset and be able to adapt to this highly dynamic and fast-growing environment.
RESPONSIBILITIES
Handle general professional administration of a highly confidential and sensitive nature
Calendar management for Senior Management including scheduling appointments, confirming meetings, coordinating with other Assistants and confirming meetings with investors, clients, and offshore colleagues as requested
Regularly coordinate meetings and conference (audio & video) calls
Organize complex international travel itineraries and arrangements
Act as a gatekeeper and field telephone calls
Screen, and where necessary act upon, all email communications (both internal & external)
Handling of confidential documentation and correspondence as requested
Monthly reconciliation of executives’ expenses
Liaise with international offices, clients, and external consultants
REQUIREMENTS
Bachelor’s degree or equivalent
Solid experience as an Executive Assistant to Senior Management within financial services/asset management
Prior experience providing outstanding administrative support in fast-paced and international environments
Proficiency in Salesforce would be highly advantageous
Superior communication and interpersonal skills in English, Cantonese and Mandarin preferred
Strong stakeholder management skills
Proactive and autonomous with the flexibility to adapt to ever-changing priorities and responsibilities
Strong organizational skills with ability to multi-task and prioritize time sensitive work
Advanced knowledge of MS Office
Ability to work well in a small team environment
