Our client is a highly respected and long-established global investment management firm with an impressive track record and stable team. They are now seeking a top notch, seasoned, and highly efficient Executive Assistant to support one of their key leaders in the business: the Portfolio Manager. This is an exceptional opportunity for an outstanding candidate whom is passionate about delivery and exceeding expectations. The ideal candidate will have excellent organizational and interpersonal skills, while remaining flexible and adapting easily to changing priorities.
RESPONSIBILITIES
• Provide overall administrative and operational support to the Portfolio Manager
• Manage an extremely busy calendar of meetings, conference calls, events, and complex and highly frequent international travel itineraries and arrangements across multiple time zones
• Proactive management to ensure the Portfolio Manager is fully updated on what is scheduled in the diary and adequately prepared for any meetings, business trips or other engagements
• Coordinate the preparation, proofreading and distribution of reports, agendas, presentations and other documents as needed
• Perform research via the internet and subscription-based research portals as requested
• Assist in the maintenance of the CRM database
• Translate documents from English into Chinese and vice versa
• Respond and deal with external or internal telephone calls and queries in a professional manner
• Monitor the monthly travel budget and assist in the timely preparation and submission of expense claims and reimbursements in line with company policy
• Handle any other related duties as assigned from time to time
REQUIREMENTS
• Degree qualified
• Minimum of 10 years' experience directly supporting C-level; ideally one-on-one, as a Secretary/Executive Assistant
• Preference for candidates with background in Financial Services
• Prior experience providing outstanding administrative support in fast-paced and international environments
• Exceptional communication skills with fluency in English and Mandarin
• Advanced knowledge of Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
• Proven experience utilizing internet resources
• Proactive and autonomous with the flexibility to adapt to ever-changing priorities and responsibilities
• Ability to anticipate needs or problems, think "outside the box" and proactively offer solutions
• Detail minded with ability to prioritise workload and meet with tight deadlines
• Strong integrity with ability to handle highly confidential situations with professionalism and tact
