A prestigious and world leading asset management firm is currently looking for an energetic and highly efficient senior Executive Assistant/ Marketing Coordinator to support one of their teams in Hong Kong. The ideal candidate will have experience working with a mix of senior-level executives and enjoys working well in a team, is highly motivated and has demonstrated excellence in prior roles.
RESPONSIBILITIES
Handle general administration of a highly confidential and sensitive nature
Regularly coordinate meetings and conference (audio & video) calls
Coordinating and scheduling client meetings, including agenda’s, room bookings, IT requirements, materials, and catering
Organize complex international travel itineraries and arrangements
Screen, and where necessary act upon, all email communications (both internal & external)
Field all telephone calls
Extensive diary management
Monthly reconciliation of professionals’ expenses
Liaise with international offices, clients, and external consultants
Event organisation, booking venues ,badges, reminder emails, invites and RSVP management
Email campaigns – support in composing campaigns with BD Team support
Designing, collating, updating, tailoring (for local/regional use) and proofing of presentation decks
Managing webinars including the webinar tracker /tracking views / number of registrants / attendees / recording and distribution of recorded material
Webinar set up from liaising with relevant the economists / set up / breakdown / running of the webinar
Ad hoc duties as required
REQUIREMENTS
5+ years’ experience in a similar role
Highly organized with effective time management and a high attention to detail
Superior communication and interpersonal skills
High level of professionalism
Experience in interacting with executives, professionals and/or clients
Ability to cover teams of multiple professionals, multi-task and prioritize time sensitive work
Exceptional time management and organizational skills and a strong sense of responsibility
Fluency in English and Cantonese/ Mandarin is a requirement
Advanced knowledge of MS Office
Ability to work well in a small team environment
