About the role
Our client, a world-renowned hedge fund with a dynamic global presence, is seeking a polished and proactive Team Assistant to support their high-performing Equities/Investment team. This is a role for someone who thrives in fast-paced, high-stakes environments and understands the rhythm of financial services at the top tier.
The ideal candidate will bring up to 10 years of relevant experience—preferably within the buy-side or broader financial services—and demonstrate exceptional communication finesse, organizational precision, and the ability to manage competing priorities with grace. You’ll be interfacing with professionals across all levels, including senior leadership and C-suite executives, so a confident, articulate presence is key. The ideal candidate is someone who can anticipate needs before they're spoken, juggle calendars like a strategist, and bring calm to complexity
Given the nature of the role and the global stakeholder engagement, fluent English is essential, while Cantonese and Mandarin is a plus.
Key Responsibilities
Proactively manage complex calendars, identify and action priorities, liaise with key teams (business development, corporate access, central leads, etc.) to schedule and coordinate high-profile internal and external meetings across multiple time zones
Plan and manage comprehensive domestic and international travel itineraries, including flights, accommodation, ground transportation, visas / other necessary travel documents and update calendars accordingly
Reconcile and process expense reports in a timely manner, ensuring adherence to company policies and deadlines
Liaise with key operational teams to facilitate the onboarding of new joiners, including coordinating training schedules and arranging desk set-up and access to required systems
Partner with key operational teams to support and facilitate the smooth running of internal programs
Plan and coordinate team events
Key Requirements
Minimum Bachelor’s Degree requirement
5+ years’ experience in an administrative or executive assistant role, ideally within financial services, investment management, or a fast-paced corporate environment (experience within a hedge fund is advantageous but not essential)
Strong proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint) with the ability to quickly learn proprietary software
Exceptional time management and organizational skills, with the ability to manage multiple priorities and meet tight deadlines in a dynamic environment
High level of discretion and professionalism when handling confidential information and sensitive matters
Strong interpersonal skills with the ability to interact confidentially and effectively with senior management, team members, and external stakeholders
Excellent verbal and written communication skills, with strong attention to detail
A proactive approach with a problem-solving mindset, capable of anticipating needs and action plans at short notice
Strong team-oriented attitude but equally able to act independently
