We are seeking a highly organized and detail-orientedAdministrative Assistantto ensure the smooth operation of our client’s office. The ideal candidate will provide administrative support to staff, manage office logistics, and maintain efficient workflows. This role requires excellent communication skills, proficiency in office software, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
Administrative Support
Manage front desk operations, including greeting visitors, answering phone calls, and directing inquiries.
Handle correspondence, including emails, letters, and internal memos.
Assist in scheduling meetings, booking conference rooms, and preparing meeting materials and company events.
Maintain and organize filing systems.
Office Operations
Order and maintain office supplies, equipment, and inventory.
Process invoices, expense reports, and petty cash reconciliations.
Coordinate with vendors and service providers for office maintenance.
Ensure the office environment is clean, organized, and professional.
Staff Support
Assist with onboarding new employees (e.g., preparing workstations, distributing access cards).
Provide general administrative support to staff and managers as needed.
Facilitate cross-department communication to promote collaboration.
Perform ad hoc tasks as assigned by management.
Qualifications & Skills
Diploma in Office Administration, Business, or related field
2–4 years in office administration, reception, or similar roles.
Technical Skills: Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
Strong organizational and time-management abilities.Excellent verbal and written communication.
Ability to work independently and as part of a team.
Discretion when handling confidential information.
Languages: Fluency in Cantonese, English and Mandarin.
